Macy’s EDI Integration

What is Macy’s EDI?

Macy’s EDI spans four programs: Retail (store and DC replenishment), Vendor Direct Fulfillment (VDF) for shipping online orders to consumers, Macy’s Merchandising Group for private-brand manufacturers, and Macy’s Marketplace, which runs on Macy’s API rather than EDI. Each program has its own documents and connection.

Tech85 Owl - Bright

Macy’s was one of the first retailers ever connected to our platform. Since then, Macy’s has added direct-to-consumer fulfillment, a private brand organization, and an online marketplace, and each one has its own connection, documents, and compliance rules. Tech85 supports every one of them and holds your connection to Macy’s Vendor Standards, so your shipments arrive compliant and your invoices get paid.

Ensure compliance, efficiency, and growth by connecting with Macy’s through Tech85’s custom-fit EDI solutions.

Why Macy’s suppliers choose Tech85

  • Every Macy’s ASN format. Macy’s publishes separate ship notice formats for standard carton shipments, pick and pack, and reverse shipments. We build the one your freight requires.
  • Multiversion support. Macy’s runs more than one EDI version at the same time and moves suppliers between them on its own schedule. We support every version Macy’s uses and match the one assigned to you.
  • Vendor Standards compliance. We follow Macy’s Vendor Standards and GS1-128 labeling requirements, so what arrives at the dock matches what the ship notice said.
  • Direct-to-consumer, fully managed. For VDF, we automate the inventory feed, cancellations, branded packing slips, and ship confirmations.
  • Private brand support. Macy’s Merchandising Group suppliers get their own connection, including the product catalog data Macy’s Merchandising Group requires.
  • Marketplace without EDI. Macy’s Marketplace runs on Macy’s API. We connect it directly, so marketplace orders flow into the same process as the rest of your business.

How it works

  1. Identify your program. Tell us whether you ship to Macy’s stores, ship Macy’s online orders, produce Macy’s private brands, or sell on Macy’s Marketplace.
  2. We configure your connection. Every Macy’s program is already built on our platform.
  3. We test with Macy’s. Each document is certified before production, including the ASN format your freight uses.
  4. You go live. Orders flow in, and ship notices, invoices, and inventory flow back automatically.

Technical notes

Each Macy’s program has its own identifiers. Suppliers on more than one program, such as Retail and VDF, need a connection for each. Macy’s Retail supports multiple X12 versions in parallel, and we run the one Macy’s has assigned to your account. VDF runs through CommerceHub. Macy’s Marketplace is an API integration.

Frequently asked questions

Tech85

How long does it take to become EDI-compliant with a new retailer?
Most Tech85 clients complete EDI onboarding and testing in 6–8 days, compared to the 6–8 weeks common with legacy EDI providers — because setup is handled by our team, not left to you to configure alone.
What if I’m already compliant but want to switch providers?
Tech85 maps your existing trading partner connection during onboarding, so there’s no gap in order processing and no need to renegotiate your relationship with the retailer.

Macy’s

What EDI documents does Macy’s require?
It depends on the program. Macy’s Retail uses the purchase order (850), product activity (852), advance ship notice (856), invoice (810), and functional acknowledgment (997). VDF adds PO changes and cancellations (860) and inventory (846). Macy’s Merchandising Group adds the product catalog (832). Macy’s Marketplace doesn’t use EDI. It connects through Macy’s API.
What is Macy’s Vendor Standards?
Vendor Standards is Macy’s rulebook for suppliers. It covers EDI, labeling, packing, and shipping requirements. We build every Macy’s connection to it.
What is Vendor Direct Fulfillment (VDF)?
VDF is Macy’s drop-ship program. You ship Macy’s online orders directly to the customer with a Macy’s branded packing slip, and you keep Macy’s updated with an inventory feed. VDF runs through CommerceHub, separately from Macy’s Retail.
What causes Macy’s compliance charges?
Most EDI-related charges come from using the wrong ship notice format for the freight, labels that don’t match the ship notice, and documents sent to the wrong Macy’s program. Our Macy’s setup is built to prevent all three.

Not sure which Macy’s program you’re in?

Tell us whether you ship to Macy’s stores, ship Macy’s online orders, manufacture Macy’s private brands, or sell on Macy’s Marketplace, and we’ll help you figure out exactly what it takes to get connected.
